How to Set up Business Systems That Work for You

Not many people would say systems get them excited but at Boss Project we feel passionately that systems are THE THING that gets us excited. (yeah, you heard us right!) Systems are what give you more time and freedom, they give you the opportunity to step away, they run your business smoothly, and they provide your clients with an excellent experience. 

We’ve heard many business owners say that systems and automations are overwhelming to tackle because it’s one more thing to think about. If that’s the case for you then you really NEED systems. With some up front work, you’ll actually have less things to think about and more time to do other things.

Systems have been the secret ingredient that has brought our clients in a ton of success (both in mo’ money and mo’ time back). In our group coaching, we go in depth on all things systems. Everything from where to implement them in your business down to the nitty gritty with how to set them up using tech tutorials. 

We want to give you some pointers, too, so here’s the 411 on how to set up business systems that work for you.

First things first, you need to do a business systems audit

Running a systems audit on your business allows you to check in with what you’re currently doing. What’s working? And what’s lacking? This audit is designed to help you quickly notice areas of improvement so you can implement new systems that will ultimately save you time, frustration and make you more money. 

For instance, let’s think about how a potential client will contact you:

  • You might have a contact form on your website

  • Or maybe they email you directly

  • Perhaps they message you on social media

From there, ask yourself some questions…

  • What’s your next step of communication?

  • How long is the above process taking you?

  • Is anything automated?

  • Where can systems and automations fit in here?

Go through this audit on all your current systems and figure out where you could do some tweaking.

Another area of your business systems to look at is your client experience process. How are you delighting your customers while they are working with you? If you’re already an overwhelmed business owner this might be a process you’ve ignored because it just feels like an extra step. However, research by American Express found that 86% of customers are willing to pay more for a better experience. Clients are willing to pay a price premium of up to 13% (and as high as 18%) for luxury and indulgence services, simply by receiving a great client experience.

Systems and automations can help with putting all of this together. Like we said before, it’s setting it up that takes some time but once you have it, it works like a dream. Before you know it your client experience is impressing clients left and right.

So now that you have an idea of where in your business needs a systems uplift you can think about what systems you’re going to put in place. There are 4 foundational building blocks for systemizing your business processes. 

  • Emails - canned email templates will streamline the majority of your communications

  • Forms - form templates will streamline the delivery (and receiving) of information

  • Invoicing Items - templated packages and payment schedules will streamline getting paid

  • Scheduler - appointment schedulers will streamline all client meetings

The ways you combine these building blocks will help you set up business systems that will work for you, give you more time and impress your clients.
