Our Top Time Saving Secrets to Managing Clients

When you’re working with clients, saving time is the biggest concern for our audience. An overflowing task list is like a dark shadow that keeps looming over you because you know it’s coming soon, but you’re trying everything in your power to stop it.

We’ve been to that point, especially when we were offering 1:1 services, but we’ve picked up a few time saving secrets to managing clients over the years. In this blog post, we want to share these secrets with you!

Automate with Dubsado Workflows

Dubsado is our #1 CRM for service-based businesses, and one of our favorite features of Dubsado is Workflows. With them, you can build out all of your client processes and put them on autopilot. From sending emails, to creating invoices, to sending appointment schedulers, Workflows really do have it all! What they may lack (which really isn’t much, unless you want to integrate another software into your workflow), they make up for with their Zapier integration.

We’ve most commonly seen Workflows used to automate the entire client process from the initial communication to the final farewell. This could include, for example:

  • Sending an email response to a lead capture form submission

  • Scheduling a discovery call

  • Sending the proposal, contract, and invoice

  • Activating the client portal upon invoice payment

  • Sending an onboarding questionnaire

  • Sending check-in emails throughout the span of the working relationship

  • Sending a farewell email with a feedback form to gain a testimonial

  • Creating a todo to send a thank you or check-in card after 3-6 months

Of course, your Workflow would look more tailored and refined to match your own process, but this is just to give you an idea of what you really can automate with Workflows. They’re the ultimate service provider hack to saving time!

Create Canned Emails

You know how you have those emails you send to every single client that basically all say the same thing? Instead of typing new ones out every time, create canned emails in Dubsado. They already equip you with plenty of common canned emails that you can edit to fit your voice, like:

  • Check In/Pre-Event

  • Check In/Status Update

  • Meeting Follow Up

  • Send Contract and Invoice

  • Thank You

  • Welcome/Onboarding

  • Wrap Up/Final Delivery

And that’s just the client canned emails! There are also ones to respond back to inquiries, send appointment schedulers, payment reminders, and more. By using smart fields in your canned emails, you can auto-populate basic personalized information for each client, like their first name, business name, project start and end dates, invoice amount, form links, and much more— in fact, there are over 60 current smart field options.

You can add canned emails to workflows to make the sending process easier and quicker as well. If you need to edit a canned email before it’s sent, you can mark the email as required for approval or create a todo to edit the client’s email. With either option, Dubsado won’t auto-send the email until you’ve marked it for approval or check off the todo item first.

Send the Proposal, Contract, and Invoice in 3 Easy Steps

If you aren’t using Dubsado right now, what’s your current process for sending new clients their proposal, contract, and invoice? We’d venture to guess you like saving money just as much as you do time, so this process may look something like using Canva to create a PDF proposal, then Docusign to create and send a contract, and finally Wave to send invoices. All of which are free or low cost tools, yes, but that’s definitely not a process geared towards saving time, nor is it very cohesive.

Instead, use Dubsado’s forms and invoicing to send the proposal, contract, invoice in an easy 3-step process for clients! All they have to do is select a package on the proposal, and they’re taken to the contract right when they submit. Once they read and sign the contract, they can view and pay the first invoice. Not only does it save you time, but it saves the client time, too, which they’ll be very grateful for. Plus, you can match all three to your branding for a beautiful and cohesive look with no Dubsado branding.
